The platform, screen by screen
See all of it
before you fund
any of it.
ClientHatch is where you buy leads and where you work them. This page walks through the screens you will use, from building a campaign to recording how the call went.
Every picture below is an illustrative preview drawn with sample people. Creating an account is free; you fund a balance when you are ready to buy leads.
01 / Campaigns
WHERE · WHO · WHEN · HOW MUCHSay what you want to buy.
Read it back before it goes live.
A campaign is your standing order: the states you are licensed in, an age range, the hours you answer the phone and your maximum bid for one lead. As you build it, a summary panel reads your settings back in plain sentences before you publish.
- Where
- Whole states, a ZIP list or a radius around a ZIP, limited to states where you hold an active licence.
- When
- The hours of the week you want to buy, hour by hour or from a preset, in your own time zone.
- How much
- The current market floor and a suggested starting bid sit beside your own maximum bid.
- Your limits
- A daily budget, a cap on leads per day, and a limit that pauses buying while delivered leads are still untouched.
You never pay more than your max bid, plus applicable sales tax.
How lead pricing works02 / Know why
NO BLACK BOXWhen you miss a lead,
the app says why.
Diagnostics shows how many lead requests each campaign was considered for, was eligible for and won. Where one of your settings is the reason you missed a request, the reason links to that setting.
- Outside your hoursOpen more hours
- Lost on bidRaise your maximum bid
- Your daily or hourly cap was fullRaise your caps
Open one past request to replay it: what happened at the time, and whether today’s settings would win that same request. Diagnostics does not list other buyers or their bids, and does not list yours to them.
The counts in the preview are examples, not a forecast of what a campaign will win.
03 / When a lead arrives
APP · EMAIL · PUSH · TEXTYou hear about it
wherever you are.
A new lead can alert you in the app, by email, by push notification, and by text if you opt in. With ClientHatch open, an on-screen alert shows the lead type, city and age with a Call now button that opens the lead.
- Push and text alerts show the city, state and age, never the consumer’s name.
- The link in an alert opens that exact lead once you are signed in.
- If a new lead goes unacknowledged, we send a second alert.
- On an iPhone, add ClientHatch to your Home Screen first so push alerts can reach you.
04 / Work the lead where you bought it
THE BUILT-IN CRMThe lead arrives
already in a CRM.
Every lead you win lands in the built-in CRM with its consent record attached, so there is nothing to copy across before the first call. Five screens do most of the work.
A · The dashboard
Who to call now.
Your dashboard opens on the leads still waiting for a first call, oldest first, and tells you which ones you can call right now. One button takes you to the next lead.
B · The lead record
One page per person.
Everything about a lead is on one page: the person, what you paid, the consent record, your next step and the full history.
- A live clock
Each new lead shows a live clock from the moment it is delivered, so you can see how quickly you made the first call.
- Calling hours, in their time
Each lead shows the consumer’s local time and the calling hours we have on file for their state. It is a working aid, not legal advice.
- The consent record
The wording the consumer agreed to, who it names, and when and where it was captured, attached to the lead.
Medicare leads are exclusive on this platform: each is sold to one agent on ClientHatch. What that does and does not mean
C · Outcomes
Say how the call went.
Record a call outcome with one tap on your phone, or press D and type a couple of letters on a keyboard.
When you promise a callback, pick the time once and it lands on your task list as a follow-up at that time.
D · Your pipeline
A list of people, or a board by stage.
See your pipeline as a list of people with a clear next step on each row, or switch to a drag-and-drop board. Filter by stage, state, age or last outcome and save any filter as a one-click view. Select several leads to record an outcome or move a stage in one step, with an Undo if you slipped.
E · Tasks
Follow-ups that add themselves.
Callbacks, follow-ups and appointments sit in one list in the order they are due, with anything late at the top.
Before AEP, at the start of OEP and ahead of a consumer’s 65th birthday, the app adds a follow-up task for the Medicare leads you bought in the last two years.
05 / Your CRM, too
SETUP TEMPLATESAlready have a CRM?
Send the lead there as well.
ClientHatch ships setup templates for GoHighLevel, Radiusbob, Ricochet360, Ringy, AgencyZoom, boberdoo, Zapier and Make, or you can point it at any HTTPS endpoint. Every lead also lands in the built-in CRM.
What you can check for yourself
- Send a clearly fake test lead and see exactly what was sent, what your CRM answered, and whether a real lead would have been accepted.
- ClientHatch checks what your CRM actually replied, not just the status code, so a lead your CRM refuses is logged as refused with the reason.
- A delivery that fails stays in the log, where you can resend it once the setup is fixed.
06 / Your balance, in plain view
PREPAID · NO SUBSCRIPTIONA prepaid balance.
Every charge named.
There is no subscription. You fund a prepaid balance, each lead you win is paid from it at the auction price plus applicable sales tax, and your card is not charged again unless you add funds or turn on auto-refill.
- Your billing page opens with what you have available to spend and roughly how long it will last at your recent pace.
- Cash and promotional credit are shown as two separate figures.
- Every lead purchase in your account activity links to the lead it bought.
- Where sales tax applies, it is its own line on the purchase.
Marking a lead as a duplicate or a wrong number opens the return for that lead with the reason already filled in.
Which outcomes can be returned, and how a return is decided, is written out in full on one page. Read our returns policy
07 / Learn the craft
ON THE WAYBuying the lead is the easy part.
The guides are for the rest.
A built-in learning center is on the way, with guides on campaign setup, bidding, the first call, follow-up, recording outcomes, returns and the Medicare calendar.
It sits in the same sidebar as your leads, laid out as a suggested reading path, so a new agent and an experienced one can each start where it suits them.
- Setting up a campaign.
- Choosing a bid.
- The first call.
- Following up.
- Recording outcomes.
- Returning a lead.
- The Medicare calendar.
08 / On your phone, light or dark
A WEB APP · NOTHING TO INSTALL FROM A STOREBetween appointments,
it fits in one hand.
ClientHatch is a web app. It works in your phone’s browser and can be added to your Home Screen, with Call, Text and outcome buttons within thumb reach on every lead.
Switch between light and dark themes, or let ClientHatch follow your device.
